1. Who I am
This website and coaching practice is run by Georgina Howell, a UK-based sole trader. For the purposes of data protection law, I am the data controller. If you have any questions about this policy or how your data is used, you can contact me at hello@georginahowell.com.
2. What information I collect
Depending on how you interact with my website or services, I may collect the following information:
Enquiries and discovery calls: full name, email address, phone number, time zone, and any information you choose to share via a contact form or booking form.
Pre-booking questionnaires: if you book a discovery call, you will be asked to complete a short questionnaire. This may include information about what you are feeling stuck with or seeking support around, your goals for coaching, what you have already tried, your readiness for change, and anything else you choose to share. Some responses may touch on emotional wellbeing, stress, or work–life balance.
Coaching clients: if you go on to work with me, I may also hold coaching notes, session reflections or actions, and relevant correspondence.
Mailing list: if you choose to subscribe, I will collect your name and email address.
Website usage: when you visit my website, some technical information may be collected automatically, such as IP address, browser and device information, and pages visited. This data is used for analytics and website improvement.
3. How I use your information
I use your personal data to respond to enquiries and messages, manage and deliver discovery calls, provide coaching services where agreed, send email updates, newsletters or offers only where you have opted in, improve my website and understand how it is used, and meet legal, professional and insurance obligations. Your information is never used for purposes that are incompatible with these.
4. Lawful basis for processing
Under UK GDPR, I rely on the following lawful bases to process personal data:
Consent (for mailing list sign-ups and optional marketing)
Legitimate interests (to respond to enquiries, manage my business, and improve my website)
Steps prior to a contract or performance of a contract (for discovery calls and coaching services)
Legal or insurance obligations (such as retaining client records). Where consent is used, you may withdraw it at any time
5. Special category information
Some information you choose to share may be more sensitive in nature, for example relating to emotional wellbeing, stress, or life circumstances. This information is shared voluntarily, used solely for coaching and reflective purposes, handled confidentially, and is not treated as medical or clinical data. I do not provide medical, therapeutic, or mental health treatment.
6. How your data is stored
I take reasonable steps to keep your personal data secure. Your information may be stored using trusted digital tools, including:
Squarespace (website hosting and forms)
Acuity Scheduling (discovery call bookings and questionnaires)
MailerLite (email marketing)
Notion (client records, administrative data, and coaching notes)
GoodNotes (handwritten or digital coaching notes stored on a password-protected device)
All systems used are protected by passwords and standard security measures.
7. Who your data is shared with
I do not sell or rent your personal data. Your data may be processed by trusted third-party service providers who help me run my business, including those listed above. These providers only process data on my instructions and for legitimate business purposes. Your data is not shared with third parties for their own marketing purposes.
8. International data transfers
Some of the tools I use may store or process data outside the UK or European Economic Area. Where this happens, appropriate safeguards are in place to ensure your data is protected in line with UK GDPR.
9. How long I keep your data
I keep personal data only for as long as necessary and review it periodically:
Enquiries and prospective clients: personal data provided when making an enquiry or booking a discovery call is retained only for as long as necessary to respond and follow up, and is typically reviewed and deleted within 12–24 months where no ongoing relationship is established.
Coaching clients: client records, including coaching notes and related correspondence, are retained for up to 7 years after the end of the coaching relationship to meet professional and insurance requirements.
Mailing list subscribers: your data is kept until you unsubscribe or withdraw consent
10. Your rights
Under UK GDPR, you have the right to:
Access the personal data I hold about you
Request correction of inaccurate or incomplete data
Request deletion of your data
Withdraw consent at any time
Object to or restrict certain types of processing
Lodge a complaint with the Information Commissioner’s Office (ICO)

11. Cookies, analytics and advertising
